E-Solutions in India

 E-Solutions in India

Since the advent of the Internet and the development of a computer-based economy, India is moving towards a digital-based economy. Most of the activities and functions are being digitized from a neck-breaking manual approach to computer-based operations. The economy is shifting from paper-based manual work to a digital form where applications and programs are replacing heavy ledgers and account books. E-solutions in India are changing the face of the economy by auguring man manual and time-consuming tasks. There is no need to fill out complex forms that take ages to complete after standing in a queue for hours. Life is becoming easier and even the common man can partake in online activities with little help.

Dual Options

Wisely, the dispensation has preserved manual applications for those illiterate who are at loggerheads for digital technology. Thus, in a fast-growing economy, both options have been retained such that day-to-day tasks, regulatory work, and application are within the reach of the common man who is yet to acclimatize to digital applications. This way progress is not being hampered and the country is moving smoothly towards progress.

Digital Revolution  - E Solutions

This has given rise to accuracy, time-saving and simple connectivity for data amalgamation and exchange. MIS is one fine example where data platforms pertaining to various business segments are interconnected and have made data exchange and sharing on a single platform.

The digital revolution is happening at breakneck speed pushed by various dispensations in India. Almost all government works have been digitalized. You can now book flight tickets, and rail tickets, and electronically fulfill organizational regulatory obligations without much hassle.  In fact, most of the day-to-day functions have gone online you can pay and receive electronically, and purchase online using eCommerce technology.

Web Portals

There is no need to line up for product purchases the eCommerce and company portals display a three-dimensional view online. You can create a wish list, purchase, and pay electronically. Web portals that throng the net have made it all easy sitting at home. As time proceeds more and more e-solutions are surfacing not only in public life but also in regulatory and organizational work.

Digital Signatures

Certified digital signatures have made sending and receiving easy, secure, and fast. Digital Signature Certification (DSC) is a surety and authenticity of the sender. This cryptographic mechanism has made regulatory and governmental work possible online without actually visiting the crowded offices and standing in long queues.

Digital Signature Certifications certify the sender and as legal tender, they are non-repudiable and cannot be manipulated while on the electronic messaging system. The transit is foolproof. The ambit of DSC is increasing day by day.

DSC Applications

Class 3 digital signature certificates can be used to access the following services:

  • e-Tendering
  • Patent and Trademark e-filing
  • MCA e-filing
  • Income Tax e-filing
  • LLP registration
  • Customs e-filing
  • e-Procurement
  • e-Bidding
  • e-Auction
  • GST Application filing

As technology advances more activities and organizations will come under the ambit of DSC. The digital signature certificates can be purchased online from a certified vendor. You can purchase the certification from DSC providers in major towns like Chennai, Mumbai, and Kolkata. Dsc is also available in mid-sized towns from certified partners of CA.

What is Digital Signature Certificate and How to Obtain it?

Digital Signature differs from electronic signature as it is cryptographically devised. It uses a cryptographical mechanism to encrypt documents and messages such that if it is manipulated on the way the manipulation is discovered and found out. There is an algorithmic method that works for encrypting documents

This is known as the key pair mechanism that creates a private key and a public key the public key is meant to decrypt documents.

Hash Technology

Hashing is a process that uses cryptological mechanisms to encrypt electronic documents and messages using algorithms. The hash algorithms transfer a given key or string of characters to another value. A hash function is a computational value that can map any date into a hash value of a fixed size.

The data is passed through a formula in application software that encrypts a document. The data may be of any size, the hash algorithms convert it into a string of 32 unreadable characters. Thus, every time you run a formula it returns the same value. If the document is manipulated the hash value will change and this is a security feature that detects manipulation for the new hash will not match with the original one. The digital signatures are primarily meant to authenticate the document and when it is certified by the CA it identifies the sender. This works fine on electronic passages where the identity of the sender is not known.

For example, some of the hash algorithms used are:

  • MD 5
  • SHA 1
  • SHA 224
  • SHA 256

For this digital cryptographical mechanism to work. The sender decrypts the document or the message using the application. The mechanism is known as the key pair mechanism. When the sender encrypts a private key and a public key is generated. The private key as the name suggests is kept a secret and the public key is used to decrypt the document for authenticating purposes the encrypted hashed document is sent along with the certificate.

The certificate is issued by the CA which is the digital signature certificate provider in India. The CA is authorized by the CCA or controller of certifying authority authorized by the MCA under the Information Technology Act 2006.

Digital Signature Certificate certifies digital signatures. It is

E-Invoicing and use of Digital Signature Certificate

E-Invoicing or e-billing and DSC are poles apart as independent identities but they converge whence authentication is required. It is DSC or digital signature certification that authenticates documents pertaining to legal renders.

Digital Signature Certificate

Unlike electronic signatures, digital signatures are in the form of a cryptic hash. They are generated using a cryptographical method, a technology that has been recently developed. The signatures accompany the electronic documents that are sent by the sender to the receiver using Internet-based messaging systems.

In the case of DS, the message is encrypted using SHA algorithms. That generates a private key and a public key. The private key remains a secret from the creator or sender. The public is sent along with the document to the receiver. The receiver uses the public key to decrypt the message or document. The process also prevents manipulation midway by hackers. The receiver can make out manipulation from the change in hash value sent by the receiver and the value he receives. In one instance the receiver will know that document or message has been manipulated. They are nonrepudiable and legal and cost little to purchase the validity period is usually one year.

Thus keeping in mind the security angle, and the ease of DSC 3 is commonly used to authenticate the sender by signing the e-documents. It is a legal tender issued by a licensed authority authorized by CCA or controller of certification authority under the Information Technology Act 2006.

E-Invoicing

E-Invoicing is an electronic format of the regular invoice.  These are B2B invoices and are uploaded on the IRP or the Internet Registration Portal. E-invoicing is created using diverse technologies and the format may differ from one country to another. The electronic version of the invoice is structured invoice data created using EDI or XML formats. The processing is quick and fast the document could be sent in CSV file format as well. This development has helped hasten up the process. The electronic invoice can be uploaded using web applications and email messaging systems. Though big companies have their own invoicing process departments, the process is generally outsourced to third parties efficient in the task. To simplify the process with so many formats available file extensions. INV should be used. This format is easy to open using enterprise accounting software like Tally Prime etc.

E-Invoicing & GSTN & GSTIN

GSTN stands for Goods and Services Tax Network, while E-Invoicing is an authenticating document by the government using the GSTN Tax Portal.  GSTIN is a tax registration number issued for GST Tax compliance.

Tally Prime E-Invoicing Compliance

Tally Prime can easily generate GST Compliant e-invoices, and manage the easy transition to the Invoice Registration Portal of IRP.  The users can configure Tally Prime as per the need of their business and generate e-bill in the desired format. Tally Prime is a product of Tally Solutions based in Bangalore and sells many enterprise software for accounting and business management purposes.

For well-established digital agencies digital signature certification has become indispensable. It is used to certify many documents before electronic dispatch.

Information Technology Use of Cartographical Techniques

In the Internet age, data stealing or hacking has become a major threat to electronic messaging. The cartographical method used to create a digital signature is used to digitally sign the document. The digital signatures are certified by the CA or certification authority and this acts as authentication of the sender who has digitally signed the document. Thus, the certification lays great stress on the authentication done by who is a certified designated authority. The sender ensures that he issues the DSC. This process is being used for many Government processes.

Thus now businesses and individuals take great care to digitally sign documents wherever its use has become a must. This authenticates the sender as well as prevents manipulation on the way.  Nevertheless, businesses and individuals are possessive about their documents and messages hence they encrypt them so that hackers cannot manipulate them. In the case of highly secure documentation, manipulation is a leak. Although developers in the information technology ecosystem continuously cryptography the process remains secure and manipulation does not take place.  But remember nothing is completely foolproof in the technology world and they have to keep on upgrading to keep ahead of the hackers.

Encryption in a digital signature assures that the document or message certified by the authority has not been changed or tampered with. In this article, we will see how encryption and decryption take place, and how it is checked to ensure no manipulation has taken place.

Cryptographical Key Generation

This type of encryption is used in the case of electronic data signing and messaging is known as cryptography. The technique turns readable data into illegible characters that cannot be read without the use of the public key. The characters form a list of alphanumerical dots and dash to represent what makes it illegible.

In this case, a public key is a must to open the document after the signer has created encryption using the private key. In rare instances, the private is also used to open the document but usually, it is the public key that performs the act as it is sent along with the documents. The private is always kept a secret.

The process is known as symmetric key cartography but when a public key is used for opening cryptic messages, or documents it is called asymmetric cryptography.

This is also known as key pair technology and data encrypted using hash algorithms. While the public key is used to open the document, the data sender keeps privately stored in his computer or other storage devices.

Encryption in a digital signature assures that the document or message certified by the authority has not been changed or tampered with.

List of Hash Algorithms

• MD5

• SHA-1

• SHA-2

• NTLM

• LANMAN

• SHA 256

The hash value generated by these mathematical algorithms is non-reversible and not possible to manipulate on electronic messaging systems. They generate the same value every time for a given document using mathematical algorithms. But in some instances, the process has resulted in two unique data returning the same hash values which is bad for security. Thus SHA 256 is most often used, it was designed by the United States National Security Agency and first published in the year 2001.

Digital Signature Certificate

The certificate is issued by a certifying authority in India authorized by CCA or the Controller of Certifying Authorities. The certification is issued based on IT Pan, Aadhar card, and video verification. The certificate contains:

• User's Name or Organization's Name

• Email Address

• Pin Code

• Issue Date

• Expiry Date

• Public Key

Cryptography in Digital Signature

In this process, the electronic document or messages are first encrypted using a hash algorithm. The hash value or digest results after encryption. The alphanumerical string is fixed as far as the size is concerned irrespective of the size of the document being encrypted. Thus, the object is represented in a cryptic form that cannot be deciphered without the use of a key generated by the sender.

DSC or Digital Certification by Certifying Authority or Partner

The sender or the signer is to send the public key and required documents to the CA for the issuance of the digital certification. The sender then sends the digest and public key along with the digital signature certification issued by CA to the receiver. The DSC issued by the certifying authority thus acts as an authentication for the receiver for the required purpose. You can also forward the application to the subsidiary a partner of the CA to issue DSC. The certifications are priced according to the type and the purpose they solve. You can apply for digital signatures online and send them to the CA for processing.

What is DSC? Apply for Digital Certificate Online

A digital certificate is an encrypted electronic file certified by a legitimate authority called CA, short for certifying authority. The DSC is used to verify the identity of a party or the sender on the Net. This is required since most of the electronic transactions are carried out between the sender and the receiver which can be an organization. Hence, the identities of both may not be known since meeting personally is not possible.  But the DSC confirms the identity of the sender to the receiver.

CA or Certifying Authority

You can consider it as an "electronic passport." Since DSC is issued by an authorized body called CA it is highly acceptable. CA is authorized by a government body CCA or the controller of certifying authority under the IT ACT 2006 both are government bodies and hence acceptable to all. Thus, we can equate it with a passport.

Even though the certificate is issued by CA the file can be manipulated during electronic messaging or transmission. But unfortunately for the manipulator, the public key that has been manipulated will not match with the public sent by the sender hence the fraud can be detected. This is what makes the digital signature certificate highly secure.

Public Key Infrastructure

To understand this phenomenon we must first understand public key infrastructure. Public Key Infrastructure (PKI) or key pair leverages encryption to provide and manage digital certificates. The digital signature is produced not by pen and is not like the usual electronic signature we see as printed on pdf. and word documents. Digital signatures are a product of cryptographical encryption technology developed in the USA.

PKI is used in a range of activities such as e-commerce, internet banking, and confidential emails. The process involves the use of hardware (computer)software(hash algorithms)and a messaging system. The core function involves the creation of a private key by the sender which is kept secret and is thus secure. This function is performed by the hash algorithm which also generates a public key that is meant to be sent to the receiver. The public is certified by the CA as the stamp of authority that certifies the bona fide of the sender.  In the DSC or digital signature certificate the personal details of the sender are given including the contact address.

If you wish to send messages and documents through the electronic medium you can use the DSC issued by CA to verify your bonafide to the receiver. Remember, the certificate issued by CA or an authorized partner costs money and is usually valid for one year. You can apply online for DSC in India. You can contact the CA, and send the required details, and photocopy of Ids. Once this is done an online interview follows where the original photocopy sent is verified. You receive the DSC within five days.

Why Buy Digital Signature Certificate?

DSC is New Technology

New technologies are flooding the business ecosystem and changing the way we conduct business. The major change has been brought about by the flux of related emerging technologies that impact one or the other business functions. This evolution has been enhanced by the introduction of the Internet and the World Wide Web. New coding techniques, software development, and web application development have played a primary role emergence of tools, techniques, and practices.

Development of Digital Signature Technology

This has been a major development and technology has made online transactions with unseen parties secure and safe. Digital signatures, unlike handwritten or electronic signatures, are a result of the cryptographical process. This process has taken decades to develop in the USA and is now popularly used everywhere. Digital signatures after being certified are legal tenders, non-repudiable, and manipulation during electronic transmission on the Net if taken place can be easily detected.

The main purpose of a digital signature after receiving certification from CA or certifying authority is to identify the sender. Documents and messages sent earlier by electronic messaging systems were found difficult to authenticate the sender. Not so anymore!

Thus, digital signature certificates are used all over the World, especially for contracts with Governments and esigning wherever required. The DSC has been successful in eradicating fraud especially in Government paperwork and in the case of financial transactions. It has also helped the Government avoid paperwork thus making them more eco-friendly.

These digital signature certificates are verified by CAs and their authorized partners in India. They are available for a price of one year.  They have to be renewed after one year. Organizations and individuals can buy DSC online from the nearest CA. They can also buy from the CA office in Kolkata, Mumbai, and many other major towns. The most popularly used Digital Signature certificate is Class III but there are many variants. A simple online application is required along with copies of photo IDS. A video interview follows where real copies of the photo IDS are shown.

Digital Signature Market Size

The digital signature market size was valued at 3.58 billion USD in the year 2021. It is expected to cross over 46 billion USD by 2030. Digital signatures are going to be used in more applications and in eCommerce as well. The future of online transactions and messaging is bright for all online businesses.

More on Types of Digital Signature Certificates

A digital signature certificate, a recent technological security apparatus makes online transactions and digital messaging safe and secure. It is used to authenticate sender using the electronic messaging systems. In virtual messaging, it is impossible to make out the identity of the sender at the other end of the receiver hence this cryptographical technology authenticates the sender. The system incorporates a pair of keys. The private key is for encryption while another key known as the public key is used to decrypt. This is a foolproof system and is impossible to manipulate on the way by hackers. Any manipulation can be made out by the receiver that the message he has received is not authentic.

The digital signature certificate or DSC  is issued to an individual or organization by CA  (Certifying Authority). The CAs are authorized to certify digital signatures. At the present juncture, there are many  CAs authorized by CCA or Controller of Certifying Authorities. The CCA has established RCAI or root certifying authority of India under section 18 of the IT Act to authorize the CAs in India. The requirements fulfilled by the RCAI are:

• Digitally sign CA license.

• All public keys of a CA are digitally signed by the CCA.

• Digitally signed public keys can be verified on CCA or CAs Website.

There are many CAs appointed by CCA, and under them, there are authorized partners. Some of the CAs in India are:

• Dsc Bazaar

• IDRBT

• Sify Technologies

• Versys Technologies Pvt Ltd.

• National Informatics Center

• Tata Consultancy Services

• e-Mudhra, n-Code

• SAFE SCRYPT

Types of Digital Signature Certificate.

• Class 2 DSC (Discontinued)

• Class 3  DSC (Individual)

• Class 3 DSC (Combo)

• DSC for DGFT (Director General of Foriegn Trade)(EXIM)

Organizational Document Signer  Certificates (Issued by USB & HSM)

The document signer certificate is DSCs issued to an organization under their legal name. These are also known as special purpose certificates.  These are issued by authorized CAs under the Information Technology Act. Version 3.5 June 2018. The purpose of the document signer certificate is to state the organization's authority while automated signing. The document signer integrates with a software application to enable automated bulk signing to verify information and documents pertaining to an organization.

• The bulk signing of Invoices and other legal documents, GST, etc.

• Online electronically digital signing.

• The signing of multiple proposals (Onboarding).

• Automated Signing

• Online verification of PAN

While the digital signature certificates are issued through online applications, in some cases the person has to appear personally. He or she has to carry the requisite documents and present them to the CA.

The demand for digital signature certificates in India is growing as more and more e-transactions are taking place. DSC supports digital governance in the country and is recognized as a non-repudiable legal process.

Apart from CAs, several partners are appointed who can issue the DSCs. Thus an additional channel for earning is formed by the CA's partner program.

Join a Partner Program of DSC Certified Authority in India

What is Digital Signature (DSC)

It pays to become a licensed partner of a CA of Digital Signature Certifying Authority in India.  But before we proceed we must first understand what is a digital signature.  As technology advances, we are moving away from pen and paper work to authenticate better and be environmentally friendlier.

Unlike handwritten or electronic signatures, digital signatures are created using cryptology technology. The result is an encrypted signature that is in form of a hash. These encrypted signatures are foolproof, and cannot be encrypted without using a public key.

DS is generated using cryptology and in the process, a private key is kept a secret by the creator and is used to encrypt the electronic document or message. Another key is generated by the sender and that is the public key which is used to encrypt the electronic document or message. These are generated as cryptic hash and are undecipherable. This mechanism has been developed a decade back in the USA and has become popular in the use of legal tenders and communications. DS is non-repudiable, and authenticates the sender besides the electronic document of the message is manipulated in a way the receiver will be able to verify the hack and disregard DS. Remember law prohibits the use of DS belonging to others the sender has to use one created by himself or herself or the issuing organization. It is impossible to counterfeit or fake the DS.

When DS is certified by the certifying authority (CA) and an organization authorized by CCA or controller of certification authority, it is termed a DSC or digital signature certificate. The DSC can also be issued by a partner authorized by a CA.

Usage of DSC in India

DSC is used for the legal purpose in the country under the MCA e-governance program.

Some of the sites where DSC is used are:

  • ·         MCA

Signatures in The Digital World

 The History of Signatures

It all must have started with a thumb impression as the World moved towards modernization.  As the writing paper came into the existence and a large number of the populace become literature handwritten signatures came into practice. The signatures became a vital instrument for acceptance, and their impersonation and forced enforcement became a crime. All valid documentation intended for legal purposes and otherwise required the producer to sign using an inked pen.

The first instance of a pictorial signature is recorded in 3000 BC. A series of pictures and symbols represented a person in those days. In Sumeria in 3100 BC, a scribe named Gar Ama first recorded his signature as a composition of words and pictures on a clay tablet.

Modern Signatures

It was the State of Fraud Act 1677 that truly legalized signatures as we recognize them today. Thus, contracts began to be legalized by parties subject to an agreement, a contract, or any legal tender.  Signatures became mandatory from then onwards.

Signatures in the Electronic Age

With the introduction of the Fax Machine, Computers, and Printers a large amount of communication turned into a digitized print form. The Fax machine became very popular and documents were scanned and sent electronically. This was a great challenge to the fast-developing business world thrust into a changing paradigm as technologies advanced.

The E-Signature Technologies

Bill Clinton in the year 2000 signed the E-Sign Act giving a big boost to electronic signature technologies. Thus data or documents could be sent through electronic medium or faxed by legalizing them with electronic signatures. This was revolutionary and the business world was being transformed by technologies. The fast-advancing computerization, the introduction of the Internet, and the World Wide Web. The introduction of email messaging meant complete trade transactions on the Net.   Electronic payment systems plugged the remaining hole in online business a system where most often the two parties did not meet each other but communicated electronically or on the World Wide Web.

Thus, acceptance of electronic signatures revolutionalized online transactions and complete business modes. But there were flaws, since sending documents or signed documents was fraught with risk.  A more secure method was being developed using cryptographical means. A method that could encrypt documents and prevent manipulation by hackers. This development was advancing fast and the emergence of digital signatures was becoming a possibility from 1988 onwards.

The Emergence of Digital Signatures & Benefits

In 1988 digital signature scheme was launched. In the time to come, it has become a legal instrument in many countries including India. In the year 2006 digital signatures became legal under the Information Technology Act. DS is widely used in many legal tenders all over the world. They are globally popular and help online businesses and e-tendering grow.

 Why Digital Signature Certifications?

DSC is secure and cannot be manipulated and identify the sender. The certification guarantees it hence the acronym DSC.

The DS short for digital signature is certified CA or certifying authority. CA is an entrusted authority that verifies the owner of the digital signature. In India, the CA is authorized by the CCA or Controller of Certifying Authority under the Ministry of Corporate Affairs or MCA. Businesses can obtain DSC Online from the CA Website. Thus there is no need to be physically present in the CA office. The DSC in India is generally issued in five days and sent by post to the registered address.
